Dear students,

As you know, the university administration has made several announcements about the rules and regulations about COVID-19 measures for the upcoming fall semester. You may find these announcements in your email inboxes and on the related METU webpages.

Recently, you should have received another announcement about HES code registrations:

In order to track and manage the possible COVID-19 cases, all our members are required to submit their HES Codes. For this purpose, HES Code Registration service link has been added to METU Portal:

https://portal.metu.edu.tr/pages/uygulamalar/hesSorgulamaKayit/hesKayit/...

By using the above link, it is required from our members to enter their HES Codes and phone numbers. Thanks to the cooperation with the Ministry of Health, we will be able to track the COVID-19 risk, disease, and test status of our members in addition to vaccination information by querying their HES Codes. For us to be able to access this information properly, you must check the HES Code Settings on your HES App (Life Fits Into Home) and make sure to allow the app to display this information when the code is queried.

You can see the HES Code Registration service on the main page of the METU Portal (https://portal.metu.edu.tr) under the Most Used Services title, or by clicking the Supportive Services for Administrative Processes among the service categories. When needed, you can also update your HES Code on the same page.

We would like to thank our students for their support and cooperation in this matter.

In line with this recent announcement above, all international students should enter their HES codes and phone numbers into the portal (https://portal.metu.edu.tr/pages/uygulamalar/hesSorgulamaKayit/hesKayit/...), even if they got their vaccination abroad. Students who will come to Turkey for the first time before the fall semester will also be able to get a HES code once they fill the Turkey Entrance Form within the final 72 hours before your flight. This form is a requirement to enter Turkey, and you may find detailed info here: https://register.health.gov.tr/

Although the HES system is a well-functioning tracking mechanism, we are also aware of the fact that a group of international students who got their vaccination abroad may have problems while registering their vaccines to the COVID19 tracking system (HES) used in Turkey. As the bureaucratic procedures will (possibly) take months to register the vaccines received abroad to your personal HES number, we have come up with an alternative and temporary solution. These students (who got their COVID19 vaccines abroad or who were diagnosed with or tested positive for COVID-19 abroad) are required to submit their COVID19-related information and documents to the University by using the form given below. The collected information and the documents will be shared with the METU Medical Center for evaluation. Upon METU Medical Center's evaluation in accordance with the conditions announced by the Turkish Ministry of Health, your vaccination/immunity/risk status will be defined to the METU portal manually by the International Students Office. You will be informed by ISO about the Medical Center's evaluation result.

For the moment, we cannot provide you with a deadline to submit your information and documents via the form given below. However, in order not to have a problem on the campus (dorms, classrooms, library, cafeteria, etc.), we strongly urge you to submit the form as soon as possible. Also, we cannot provide you with an estimated time to receive the evaluations from the Medical Center. Due to the heavy workload of ISO lately, we kindly ask you to be patient as we will already inform you once the evaluations arrive at our office.

IMPORTANT NOTE: Please remember that the procedure explained above is a temporary solution provided to our students. All students who got their vaccination abroad should still register their vaccines to their HES code through the Turkish authorities. To do so, students need to visit Ankara Directorate of Health Numune Campus (in Turkish: Ankara İl Sağlık Müdürlüğü Numune Yerleşkesi, google maps link: https://goo.gl/maps/JQPymxgDzYr1mSda9), submit a copy of their vaccine cards taken from their own countries by filling the form available there. The health commission will then make an evaluation of your vaccines and then will give a decision (such as "You will be considered fully vaccinated in Turkey" or "You will need an additional dose of Pfizer Biontech" etc.). This evaluation process could take between 2-4 weeks. To submit a request to the Ankara Directorate of Health, students should first have a foreign ID number, i.e. residence permit. Therefore, those who already have a foreign ID number (99xxxxxxxxx) could directly visit the Ankara Directorate of Health. Other students, who will get a residence permit for the first time, should wait till they get their residence permits. In any case, if you got your COVID19 vaccines abroad and/or if you were diagnosed with or tested positive for COVID-19 abroad, you need to fill the form below before everything else.
